|The CCD system, if populated fully, will contain a wide range of data for your clients. This is an extremely powerful source of information, which can be mined to identify clients which meet certain criteria.|
Once you have decided upon and created a standard message, you are ready to establish a ‘Found Set’ of clients to whom your standard message will be distributed. In order to do this, you will need to establish by which common criteria they are connected, for example all being linked by an age range or the same adviser. The CCD system has a number of marketing wizards and we will explain the different ways in which your ‘Found Set’ can be identified.
From the Main Menu click on Admin and then choose Marketing on the left of your screen. You will be presented with a summary of any outstanding marketing campaigns. Now choose the Wizards sub-option on the left of your screen.
There are a number of wizards available which build dynamically with the entry of certain criteria at the bottom of your screen. For example, you may wish to identify all clients aged between 35 and 50 who do not have a retirement plan. To locate these clients, select Retirement from the Product basis dropdown list, 35 into the
Age from... box and 50 into the ... age to box.
You will notice you will now have a wizard offering Clients aged between 35 and 50 who do not have a retirement plan. Click on this and the system will search through your clients and locate those who meet your chosen criteria. If any clients are found these will be displayed to you in a list.
You may now proceed to create a marketing correspondence to these clients or print this list and return without creating a correspondence. To return, click on Cancel wizard in the top right of your screen and confirm that you wish to exit.
You may now continue to create further lists of clients as required by amending the criteria at the bottom of your screen, thus amending the wizards accordingly.
Please see the knowledge base item Creating the marketing records and Issuing the communication for further details on writing to your chosen found set of clients.
There may be an instance where the found set of clients you wish to locate is specific and not covered by one of the marketing wizards. You are able to complete a manual search of your database in this instance. It is important that you have a good working knowledge of the database and the search process to ensure the correct found set is located. We will cover some of the basic search functions in this section.
From the Main Menu click on Admin and then choose Marketing on the left of your screen. You will be presented with a summary of any outstanding Marketing campaigns. Now choose the Wizards sub-option on the left of your screen.
You may choose to perform your search based on client details or holding details. In the clients area you will find personal details of the client such as their name, age, smoking status etc. Within the holdings area you will find details of the holdings in your system such as product provider, product type, premium, sum assured etc.
By way of example, you may wish to search for all clients who are male, aged between 35 and 50, who are smokers. Click on Search client records... and you will initially be given a list of your clients. Now click on View records as a data table in the bottom right of your screen and you will be shown a more comprehensive list of your clients, showing additional data. At the top of your screen click on Create a new found set and your client data will be hidden and you will be presented with a blank line. It is at this point that you should enter the criteria on which you wish to search. In our example, the first criterion is that the client should be male – click in the sex column and choose Male. The clients also need to be smokers to meet our criteria, in the smoker column box choose yes. Finally, the client needs to be aged between 35 and 50 to meet our search requirements. Click in the Age column and enter 35...50.
Once you have entered all of your criteria hit the Enter key on your keyboard. Any clients meeting your requirements will be displayed. To return to the marketing wizard click on Return to CCD system view at the top of your screen. You may now either print the list or continue to prepare a marketing correspondence to the found set of clients.
