How do I add an Asset?

There are a number of aspects, which should be considered in relation to portfolio management, not least of all the level to which you would wish to be able to provide information to your client regarding their fund holdings. CCD is capable of three distinct levels of portfolio management, and any combination of the three can be selected on a customer-by-customer and holding-by-holding basis, providing almost endless flexibility. The system can be used to record simple policy values, to record overview unit holdings or an in depth analysis of all purchase and sale transactions. You may therefore make your portfolio reports as detailed or as simplistic as you would like.

Using this information within the system, it is possible to both prepare detailed reports and export information entered to Microsoft Excel or even to your website using our Client Care Hub. This article deals with each level in turn, so that you can make your own decision about how your information is to be recorded.

Snapshot valuation

You would choose this option if you do not know the individual funds which the holding is invested in, but just the overall value of the holding.

To record the value of a policy holding without the need to enter units held and unit prices etc, from the Main Menu, select the Clients option and locate your client using the Find record option at the top right of your screen. Then select the Holdings option on the left hand side of the screen. Select the holding from the list displayed for which a value is to be recorded.

Click on the Details option on the left within the holding:
In the valuation data field at the bottom of your screen, select Snapshot from the dropdown list. Now click on the Assets tab at the top of your screen and enter the TOTAL value of the holding together with the valuation date:
Summary valuation

Choose this option if you know the funds which the holding is invested in, and you wish to enter the number of units and current bid price. This option is then updatable by using the Financial Express price feed download.

To record the value of a policy holding with details of the fund chosen, units held and unit prices, from the Main Menu select the Clients option and locate your client using the Find record option at the top right of your screen. Then select the Holdings option on the left hand side of the screen. Select the holding from the list displayed for which a value is to be recorded.

Click on the Details option on the left within the holding. In the valuation data field at the bottom of your screen select Summary:
Now click on the Assets tab and choose the + Add asset option at the top right of your screen:
Confirm that you wish to add a fund, click on the Select asset tab and you will be presented with a list of the funds available for the provider you have chosen:
Locate the fund concerned and click on Select on the right of your fund. However, there are more and more products offering external fund links and you may need to select funds offered by alternative providers. If this is the case then click on the Search the collectives database option at the bottom of your screen. You will now be presented with a complete list of all funds available from the system. You can either select the asset from this screen or alternatively click on Conduct a manual search of the database to search on a variety of criteria.

Now that you have chosen the fund in which the investment is made, click on the Position tab. You are now able to enter the current number of units held and the date this was recorded:
If you wish to add more funds then click on the word Select asset tab at the top of your screen and repeat the process. You can add as many funds as you wish.

Transactions

This option would be used to record the value of a policy holding with full details of the fund chosen, units held, unit prices and detailed records of each purchase and sale of units. From the Main Menu, select the Clients option and locate your client using the Find record option at the top right of your screen. Then
select the Holdings option on the left hand side of the screen. Select the holding from the list displayed for which a value is to be recorded.

Click on the Details option on the left within the holding. In the Valuation data field, select Transactions:
Now click on the Assets tab at the top of your screen and choose the + Add asset option at the top right of your screen:
Confirm that you wish to add a fund and you will be presented with a list of the funds available for the provider you have chosen. Locate the fund concerned and click on Select on the right of your fund. Now that you have chosen the fund in which the investment is made, click on the Transaction tab. This will take you into a screen in which the in-depth transaction details of units may be logged:
For each unit transaction within this fund, you will need to record the date, gross transaction amount, dealing cost and either the number of units purchased or unit price. The system will calculate the item of information, which you have not entered if applicable, and the net transaction amount. If you wish to add more funds then click on the Select asset tab and repeat the process. You can add as many funds as you wish.
