The first step to preparing a communication to a contact / introducer is to create the initial work entry. See the document titled ‘Recording basic work entries’ should you require any assistance. The work entry for a contact is located from the Contacts area on the Main Menu. Once the work entry has been created you can then progress to preparing the communication itself (see related articles).
Select the work entry and choose the Message option:
The next stage is to identify what type of communication you wish to generate – letter, fax or e-mail. In the case of a letter or fax you can choose to mark it private & confidential, as required.
The system will date the letter with the same date the work entry was created but this can be changed manually and you can choose to add your own reference if required.
Free type communication
If you wish to write a communication from scratch then you should choose the Generate correspondence option in green in the middle of the screen. You may free type your communication and in the case of a letter you will have an option to output the letter to Microsoft Word for further editing. The system will prompt you to save your Word letter and CCD will save it to its own folder, which should not be changed.
Using standard text to communicate
If you wish to use a piece of standard text then you should choose the Use message maker option at the bottom of your screen.
You may now select the text you wish to use which could be edited to further suit your requirements. Any changes to the text here will not alter the stored standard text so it is possible for you to personalise the text accordingly.
When you have finished editing your text choose the Generate letter option at the bottom right of your screen. You will have an option to output the letter to Microsoft Word for further editing. The system will prompt you to save your Word letter and CCD will save it to its own folder, which should not be changed.
